Issue resolution & complaints

Speak up → Get support → Take action → Resolve

Yarra Plenty Waves and Yarra Swim School are committed to resolving concerns in a fair, respectful and timely manner. All members are encouraged to raise concerns early and work towards a positive outcome.

How to raise a concern

Concerns can be raised:

  • with a coach, teacher or member of staff

  • with a committee member or Grievance Officer

  • via email or in writing

  • in person or over the phone

Concerns may be raised formally or informally, and can be made confidentially.

All matters will be handled in a confidential, respectful and timely manner.

Types of concerns

Swimming and program-related concerns

For training, lessons or program-related matters:

  • speak with your coach or teacher first

  • allow time for the issue to be addressed

  • if unresolved, escalate to the head coach or program lead

General club and swim school concerns

For general matters:

  • raise the issue with the most appropriate person (coach, member of staff or committee member)

  • if unresolved, escalate to the committee or Grievance Officer

Safeguarding and wellbeing

For concerns relating to:

  • child safety

  • vulnerable people

  • inappropriate behaviour or misconduct

These should be raised directly with the Grievance Officer. If a person is at immediate risk of harm, contact 000.

Our approach

We aim to:

  • resolve issues as early as possible

  • listen to all parties

  • focus on fair and practical outcomes

  • maintain confidentiality where appropriate

Where a matter cannot be resolved at an initial level, it will be escalated to the appropriate club or swim school representative for review.

The Yarra River, from which our club is named, is known as Birrarung, meaning River of Mists in the language of Woiwurrung spoken by the Wurundjeri.

We acknowledge the Wurundjeri people as the traditional custodians of this land. We respect their unique ability to care for the country and their deep spiritual connection to it. We honour Elders Past and present, who have resided in the area and who are an integral part of the region's history.
